Requests

The Requests section is where you create, manage, and track engagement requests sent to suppliers.

Each request represents a formal request for sustainability or emissions data and is used to collect primary data from suppliers for Scope 3 reporting.

Accessing the Requests section

To access Requests:

  1. Click Engage in the main navigation.
  2. Select Requests from the Engage submenu.

This will open the Requests dashboard for the selected reporting year.

Filtering requests

At the top of the Requests page, you can filter requests by:

  • Year – View requests for a specific reporting year
  • Status – Filter by request status (All, Requested, Viewed, Pending, Completed, Expired)

These filters help you focus on the most relevant requests, particularly when managing large supplier networks.

Each request moves through these stages as it progresses:

  • Requested – sent, not yet opened.
  • Viewed – the recipient has opened the link.
  • Pending – the recipient has started answering questions.
  • Completed – the recipient has submitted their response.
  • Expired – the request is no longer open for responses.

Creating a new request

To create a new engagement request in Engage, navigate to Engage > Requests and click New Request in the top-right corner of the page.

You will be asked to choose the type of request you wish to create. TrackZero supports two types of engagement requests, depending on how you want to contact suppliers.

Automated request

An Automated request is sent directly by TrackZero to suppliers that already exist in your supplier list.

When using an automated request, you'll go through a short wizard:

  1. Details — choose the assessment Template the recipient will complete, the Reporting period you want data for, and a response Deadline (30 days or more is recommended).
  2. Recipients — select which suppliers should receive the request, or add a new one.
  3. Review — check the assessment, period, deadline, and recipient count, then select Send Request.

TrackZero then:

  • Sends a personalised email to each selected supplier
  • Gives suppliers a secure link to complete their request
  • Automatically sends reminders to inactive suppliers
  • Notifies you if a supplier cannot be reached
  • Tracks request progress and completion automatically

This option is recommended when:

  • You already have supplier contact details
  • You want TrackZero to manage communications and follow-ups
  • You are engaging multiple suppliers at scale

A Manual link request generates a shareable link that you can send to one or more suppliers through your own communication channels.

Choose the assessment Template, Reporting period, and a Deadline — for manual links, this is a fixed number of days from when the recipient first opens the link, rather than a calendar date — then copy the generated link to share however you like.

When using a manual link:

  • You share the link via email, procurement portals, or other channels
  • Whoever opens it is asked for a few details about themselves and their organisation, then sent an email with a personal link to start the assessment
  • Suppliers are automatically added to your supplier list in TrackZero
  • The request is tracked in the Requests section
  • Once onboarded, TrackZero sends automated reminders until the request is completed

This option is recommended when:

  • You do not yet have supplier contact details
  • You want to distribute the request via existing supplier communications
