Ledger

The Ledger provides an alternative method for entering and reviewing emissions data. It is designed for advanced users who require faster data entry without step-by-step guidance.

Key features:

  • Faster data entry without support explanations.
  • View all emissions data in one place.
  • Manual data entry for additional emissions data not captured in assessments.
  1. From the Measure page, select Ledger to see your assessments grouped by reporting period, then listed by Site, Assessment, Total Emissions, and Status. Select View footprint for period to jump straight to that period's Footprint view.
  2. Open a record to see its full line-by-line detail, with summary cards for your Total Emissions and each scope, and a Calculation Method dropdown (Market Based / Location Based) for how Scope 2 is calculated.

Editing and adding new data:

  1. To edit an existing line item, click the edit icon in the Actions column.
  2. To add a new line item directly, select New Entry and fill in:
    • Identifier (a short name describing the item).
    • Supplier (choose an existing supplier or select New supplier to add one).
    • Scope and Scope Category.
    • Decision Statement / Reasoning (optional) — space to explain or add context for this entry.
    • Supporting Files (optional) — select Upload Files to attach evidence.
  3. Choose how to calculate its emissions: Activity Based (pick an activity and enter a Value), Spend Based, Custom Factor (enter a manual emissions factor), or Custom Total (enter the total emissions figure directly). A running Total Emissions figure updates as you fill this in.
  4. Click Save to add the record.

Exporting and importing data

  • Select Export Data to download the record as a CSV.
  • Select Import Data to bring in data in bulk, then choose:
    • Smart Import — select the Scope and Scope Category your data falls under, then choose the relevant activities and units from the available datasets (e.g., Open CEDA, UK DESNZ). Upload your file and TrackZero uses AI to extract your data, create ledger line items, and match them to the most appropriate emissions factors.
    • Custom Emissions Import — upload a structured spreadsheet containing line items with custom emissions factors or supplier-provided emissions; the data imports directly into your ledger.

The Advanced Editor

The Advanced Editor is a spreadsheet-style way to work with your line items in bulk, with running totals for Scope 1, 2, and 3 and a split between activity-based and spend-based entries. Select rows to bulk-edit their scope and category, or delete them. A Smart Complete option uses AI to match line item identifiers to suppliers, suggesting a company name, industry codes, and country so future uploads with the same identifier are matched automatically.

Tip: if you don't see an option to start a new record in the Advanced Editor, ask your organisation admin — in some configurations only the guided assessment is available when creating a new record, though existing Advanced Editor records remain fully usable.

Reviewing calculation details:

Select the eye icon next to any line item to open its full detail:

  • Item Context: The assessment template and scope category it belongs to, the full chain of parent questions that led to this line item, and its Item ID.
  • Answer: A colour-coded breakdown of the calculation — User Input, Assessment Variable, Custom Value, and Emissions Factor — showing exactly how the total emissions figure was derived, plus who completed the answer and when.
  • Accuracy & Statement: Any decision statement added to explain the answer, and who last modified it and when.
  • Supporting Files: Evidence files attached to the answer.
  • Discussions: Any messages exchanged about this answer — see How do I seek advice from a sustainability expert?.
  • Notes: A free-text space visible to your team and collaborators, separate from the decision statement.

The Ledger is a powerful tool for advanced users managing large datasets or entering emissions data manually. It complements the guided Assessments section by offering greater flexibility and control over emissions records.
